Acceptance of Bid for Landscape Maintenance Services: West & Southwest Area Parks July 12, 2022

Page 2 of 2 ends

The bid was based on a fixed monthly cost for landscape maintenance services to maintain two separate areas spread over the West and Southwest areas of the City, covering 35 park/facility locations, including three optional ballfield sites. Bidders were allowed to submit a bid on either one or both service areas, encouraging greater competition. Landscape maintenance service includes, but is not limited to, the maintenance of plant materials, turf, irrigation systems, litter control, mowing, edging, pruning, mulch replacement, weed & pest control, and trimming of park trees up to 15’ in height. BrightView Landscape Services was the lowest responsive bidder on both service areas, giving the City the best overall value over the life of the agreement.

The three optional sites (bid lines 59-61) in the West service area are not being awarded and will not be included in the landscape maintenance agreement. This accounts for the difference between the bid and award amounts.

The term of the agreement will be for a one-year period with up to four one-year optional renewals. Unit pricing is fixed for the initial one-year base period. The renewal periods shall be negotiated each year with any increases not-to-exceed the change in the Consumer Price Index (CPI) for the Los Angeles-Long Beach-Anaheim areas for the preceding 12-month period.

The 15% contingency is recommended to provide the ability to address any unforeseen service requirements that may arise during the term of the agreement.

IMPACT ON BUDGET:

Sufficient funds are available in the Community Services Department’s Fiscal Year 2022/23 General Fund budget. Funding for subsequent years will be subject to Council’s approval of budget appropriations.

Respectfully submitted, Concurred by,
Barrick L. Bartlett Sjany Larson-Cash
Purchasing Agent Community Services Director
