The bids are based on the cost of providing server equipment, multi-year maintenance, and support agreements. The servers will be used to replace the existing end-of-life equipment that hosts the virtual server environment for over 14 critical business applications, including Geographic Information System (GIS) which provides essential mapping services for the City and Life and Safety. The purchase will result in a 60% equipment reduction of the current virtual server environment in the data center and reduce overall energy consumption and cooling costs. This purchase will also increase the security and overall performance of critical enterprise applications.

The bid consisted of a specific quantity of a specifically configured server unit. The bid was posted and over 650 vendors were notified of the bid opportunity. A total of 47 companies reviewed the bid. The award recommendation is made to the responsive company who offered the lowest pricing for the specified product. The equipment is part of the Information Services Infrastructure capital purchases being advanced in schedule to mitigate growing risks and vulnerabilities in the City’s computing environment. The total amount of the purchase will be funded through the Master Equipment Lease/Purchase Agreement with Banc of America Public Capital Corporation (BAPCC), which was approved by the City Council on March 1, 2022.

IMPACT ON BUDGET:

Sufficient funds are available in the Finance Department’s Fiscal Year 2022/23 Information Services Capital Improvement budget.

Respectfully submitted, Concurred by,
Barrick L. Bartlett Deborah A. Moreno
