SUBJECT: ACCEPTANCE OF BID FOR CHRYSLER OEM AUTO PARTS

RECOMMENDATION:
That the City Council, by Motion, accept the bid from H&H Auto Parts Wholesale, in the amount of $201,119.68 plus applicable tax, for the purchase of Chrysler auto parts for a one-year period with up to four one-year optional renewals; and authorize the Purchasing Agent to exercise the renewal options, all in accordance with Bid #9591.
DISCUSSION:
Purchasing solicited bids from known companies and posted the bid on the City’s bid portal. Sealed bids were received by 2:00 p.m., June 28, 2022, from the following bidders and were publicly opened immediately thereafter.

The bid was based on an annual requirement of 217 different repair parts for various Chrysler vehicles in the City’s fleet. H&H Auto Parts Wholesale bid on 215 items and offered a 35% fixed discount off the manufacturer’s list price for other parts not individually listed. H&H Auto Parts Wholesale has offered competitive pricing and is able to provide the majority of the required parts; award is recommended accordingly.
The term of the agreement will be for a one-year base period with up to four one-year optional renewals. Prices and discount shall remain firm for the initial base period.
Pricing for the renewal periods shall be negotiated each year with any increases not-to- exceed the most recent 12-month period for the Los Angeles-Long Beach-Anaheim, CA Consumer Price Index (CPI) for All Urban Consumers. In the event that prices increase beyond the CPI, H&H Auto Parts Wholesale must provide verifiable evidence from the manufacturer to support an increase above the stated limit. It will be at the sole discretion of the City to accept or reject such an increase.

IMPACT ON BUDGET:
Sufficient funds are available in the Public Works Department Fiscal Year 2022/23 Motorized Equipment Fund budget. Funding for subsequent years will be subject to Council’s approval of budget appropriations.
