Acceptance of Bid for OEM Ford Repair Parts
September 13, 2022
The bid was based on the estimated annual volume for over 200 individual OEM parts for various Ford vehicles that make up more than 20% of the City’s fleet. Colley Auto Cars offered competitive pricing and a fixed discount off the manufacturer’s list price for parts not listed. They have been successfully providing Ford parts to the City for the past several years and have been meeting Fleet’s requirements, therefore the award is recommended accordingly. A 15% contingency is requested to cover any increase in the volume of parts that may be required during the administration of this agreement.
The term of the agreement will be for a one-year base period with up to four one-year optional renewals. Unit pricing is fixed for the initial one-year base period and will be negotiated each year of the renewal periods, but may not exceed the change in the Consumer Price Index (CPI) for the Los Angeles, Long Beach, and Anaheim, California areas for the preceding 12-month period. In the event that prices increase beyond the CPI, bidder must provide verifiable evidence from the manufacturer of the product to support a requested increase. It will be at the sole discretion of the City to accept or reject such an increase.
IMPACT ON BUDGET:
Sufficient funds are available in the Public Works Department’s Fiscal Year 2022/23 Motorized Equipment Fund budget. Funding for subsequent years will be subject to Council’s approval of budget appropriations.
