Acceptance of Bid for GM Automotive Parts
June 27, 2023

Page 2 of 2 ends

The bid was based on the estimated annual requirement of approximately 123 individual OEM parts for 106 GM city vehicles utilized by Community Services, Public Utilities, Public Works, Police, Fire, and Convention Center staff. Using OEM parts for maintenance and repairs supports the preservation of warranty, reliability, and performance for these city vehicles. H&H Auto Parts Wholesale offered competitive pricing and a fixed discount off the manufacturer’s list price for parts not listed. They have been successfully providing GM parts to the City for the past several years and have been meeting fleet’s requirements. A 20% contingency is recommended to cover any unforeseen increase in the volume of parts that may be needed during the administration of this agreement.

The term of the agreement will be for a one-year base period with up to four one-year optional renewals. Unit pricing is fixed for the initial one-year base period and will be negotiated each year of the renewal periods but may not exceed the change in the Consumer Price Index (CPI) for the Los Angeles, Long Beach, and Anaheim, California areas for the most recent available month. In the event that prices increase beyond the CPI, bidder must provide verifiable evidence from the manufacturer of the product to support a requested increase. It will be at the sole discretion of the City to accept or reject such an increase.

IMPACT ON BUDGET:

Sufficient funds are available in the Public Works Department’s Motorized Equipment Fund budget. Funding for subsequent years will be subject to Council’s approval of budget appropriations.

Respectfully submitted, Concurred by,
Barrick L. Bartlett Rudy Emami
Purchasing Agent Public Works Director
