RECOMMENDATION:

Page 2 of 2 ends

The bids were based on an estimated annual requirement of approximately 217 different Cummins, International, and several other truck repair parts for the various Fire Department trucks and Public Works utility trucks that are part of the City’s fleet of vehicles. It is recommended that agreements be established with two suppliers. Rush Truck Centers was the lowest bidder on the Cummins parts while Western Truck Exchange was the lowest bidder on the remaining parts. The combined amount is based on the bid price for the items recommended to be awarded to each bidder.

Unit pricing would be fixed for the initial one-year base period and would be negotiated for each of the renewal periods, but may not exceed the change in the Consumer Price Index (CPI) for the Los Angeles, Long Beach, and Anaheim, California areas for the most recent available month period. If prices increased beyond the CPI or during mid- agreement, a price adjustment may be requested biannually with the vendor providing verifiable evidence from the manufacturer of the product to support the requested increase. It would be at the sole discretion of the City to accept or reject such an increase.

The 20% contingency is recommended to cover any increase in the volume of parts that may be needed during the administration of these agreements.

IMPACT ON BUDGET:

Sufficient funds are available in the Motorized Equipment Fund within the Public Works Department’s Fiscal Year 2023/24 budget. Funding for subsequent years would be subject to Council’s approval of budget appropriations.

Respectfully submitted, Concurred by,
Jered Rakosky Rudy Emami
Purchasing Agent Public Works Director
