DATE: JUNE 18, 2024
FROM: FINANCE DEPARTMENT
SUBJECT: ACCEPTANCE OF BID FOR PREVENTATIVE MAINTENANCE,

ATTACHMENT (Y/N): NO ITEM # 13
GOVERNMENT CODE § 84308 APPLIES: NO
RECOMMENDATION:
That the City Council, by Motion, accept the bid from Autolift Services, Inc., in the amount of $26,615 plus 20% contingency, to perform annual preventative maintenance, certification, and as-needed repairs on various lifts and conveying equipment utilized by Public Works, for a one-year period with up to four one-year optional renewals; and authorize the Purchasing Agent to exercise the renewal options, all in accordance with Bid #9794.
DISCUSSION:
Purchasing solicited bids from known contractors and posted the bid on the City’s procurement portal. Sealed bids were received by 2:00 p.m., May 8, 2024, from the following contractors and were publicly opened immediately thereafter.

The City’s Fleet Services Division depends on lift equipment to perform daily tasks.
Lifts are utilized to raise vehicles in order to easily access all parts, thus facilitating routine services. Maintenance on this equipment is necessary to ensure safe vehicle lift operation and to remain in compliance with Cal OSHA’s Regulation Safety Orders. The bid was based on performing annual preventative maintenance on 26 automotive lifts Acceptance of Bid for Preventative Maintenance, Certification, and Repairs for Lifts and Conveying Equipment June 18, 2024
and four (4) conveying equipment used to elevate workers and for the handling of goods.
Hourly rates were also requested for an estimated number of labor hours to address as- needed unforeseen repairs that may arise from inspection. Autolift Services, Inc. offers competitive pricing and has been successfully providing these services to the city for the past several years, therefore the award is recommended accordingly.
The term of the agreement will be for a one-year period with up to four one-year optional renewals. Pricing is fixed for the initial one-year base period and shall be negotiated each year of the renewal periods with any increases not-to-exceed the change in the Consumer Price Index (CPI) for the Los Angeles, Long Beach, and Anaheim areas for the most recent available month period.
The 20% contingency is recommended to provide the ability to address any unforeseen service requirements that may arise during the term of the agreement.
IMPACT ON BUDGET:
Sufficient funds are available in the Public Works Department’s Fiscal Year 2023/24 budget. Funding for subsequent years will be subject to Council’s approval of budget appropriations.
Respectfully submitted, Concurred by,
John Vasquez Rudy Emami
Acting Purchasing Agent Public Works Director
