ADMINISTRATIVE REPORT

MEETING DATE: February 12, 2025 AGENDA CATEGORY: Consent - Agreement TO: Honorable Mayor and City Council
FROM: Zachary Meyer, Public Works Director
DATE: January 24, 2025
SUBJECT: Amendment No. 1 to Agreement 24-007
with Clean Energy ($200,000, not to exceed $400,000) to continue performing inspections, maintenance, and repairs of the Liquefied and Compressed Natural Gas (LCNG) fueling facilities located at the Corporation Yard and South Mt. Vernon Avenue.

RECOMMENDATION:

Staff recommends approval of amendment.

BACKGROUND:

The City has two LCNG fueling stations located at the Corporation Yard, 4101 Truxtun Avenue, an d the Mt. Vernon Compost and Recycling Facility located at 2600 South Mount Vernon Avenue. The LCNG fueling stations provide fuel to approximately 44 Liquefied Natural Gas vehicles and 66 Compressed Natural Gas vehicles on a regular basis. It is critical that both LCNG fueling stations remain operational to ensure street sweepers and refuse vehicles can be deployed effectively to minimize service disruptions.

In August 2023, the Fleet Division of Public Works conducted a Request for Proposals for on-call services for inspection, repair, and m aintenance services for the Fleet Division's LCNG fueling stations . Staff received one proposal from the following vendor for the services: Clean Energy. Fleet staff received and scored the proposal based on vendor’s qualifications and fee proposal. Staff determined that the submission met the minimum requirements.

On January 10, 2024, Council approved Agreement 2024 -007 with Clean Energy to perform inspections, maintenance, and repairs to City equipment.

Currently, due to unforeseen repairs, there is only $1,438 remaining on the original contract. This contract is valid until January 10, 2026, and as Clean Energy is performing satisfactorily for the contracted services, the compensation portion needs to be amended.

Amendment No. 1 will increase compensati on by $200,000 for a revised not to exceed amount of $400,000. The increase will allow the City to continue to meet maintenance and repair as needed.

FISCAL IMPACT:

Sufficient funds are within the Fiscal Year 2024-25 budget and allocations are available in the Equipment Fund to cover costs associated with this amendment.

COUNCIL GOAL:

Innovative and Efficient City Government
