ADMINISTRATIVE REPORT

MEETING DATE: May 28, 2025 AGENDA CATEGORY: Consent - Agreements TO: Honorable Mayor and City Council
FROM: Randy McKeegan, Finance Director
DATE: May 15, 2025
SUBJECT: Amendment No. 3 to Agreement No. 2023-042(B)
with Clarity Cloud, Inc (increase compensation $50,000, revised not to exceed $2,690,000) for the addition of the Guide software module to the existing Clariti permitting system environment

RECOMMENDATION:

Staff recommends that Council approve the amendment

BACKGROUND:

In September 2024, various Departments including Public Works, Building, Planning, Code Enforcement and the Fire Department went live with the Clariti permitting software system. The system replaced the Community Development module within the Naviline ERP software system, and provides Building, Public Works and Fire Prevention permits, Planning applications, and manages Code Enforcement complaints at present. In 2024, Clariti Software purchased Camino Guide, a product which works in conjunction with the Clariti permitting software to assist customers in gathering information on necessary documents to complete applications and inspections for permits.

Existing municipal customers have noted that the integration of the product with existing permitting systems decreased the number of customers calls for assistance with permits dramatically within the first year of use. Staff believe that the integration of the Camino Guide will create further system efficiency by reducing the number of customer calls received for clarifications on requirements for permitting and planning applications.

FISCAL IMPACT:

The one -year subs cription to the Camino Guide product will be $50,000. There is currently sufficient funding with the department budget to cover the cost of these services.

COUNCIL GOAL:

Innovative and Efficient City Government
