1. Why is your organization requesting an in-kind donation? Helmets: Football helmets are critical for player safety, and they can be quite expensive. A request for donations in the form of new helmets might be made to ensure that all players have up-to-date, high-quality protection. Older helmets may not meet current safety standards, and new ones could help reduce the risk of head injuries. Fleece-lined Sideline Coats: These would be a request to ensure that the coaching staff and other personnel are comfortable in cold weather during games or practices. Sideline coats are often essential for keeping individuals warm and functional in extreme conditions. In colder climates, coaches need to be prepared to spend hours outside during games, and these coats would make it easier to maintain focus and performance. Cooling Stations:
Football is a physically demanding sport, and cooling stations are important for helping players manage heat stress and stay hydrated, especially in warmer months. These stations often include cooling equipment, water, electrolytes, and other supplies to help players recover between plays or during breaks in the action. Contributions such as equipment or supplies, are often requested because they provide direct, tangible support to our program without the need to spend funds that might be better used elsewhere. These donations help our program maintain their safety, comfort, and performance while minimizing financial strain.
2. How will this in-kind donation benefit your organization and the youth population of Barstow?
arstow Footbell Booster Club receiving a grant could significantly benefit the city in several ways, both directly and indirectly. It will enhance sport program. This fund could provid uch-needed funds for equipment, uniforms, and facilities. This would not only improve the quality of the football team, but also raise the overall standard of high school sports in Barstow This can attract local talent and encourage youth participation in sports.
Also, community engagement, Barslow is a tight-knit community, and sports often serve es a hub for social gatherings. With additional funding, the booster club could organize events that bring together familles, local businesses, and residents, fostoring a sense of community pride and cohesion. More events could also create a space for other local organizations to get Involved, strengthening the fabric of Barstow as a whole. We strive for youth developmont. A successful football progrem can have a positive infuence on local youth by teaching them valuable life skills such as teamwork, discipline, and time management. By improving the resources avallable to the football team, more students could be encouraged to join, helping them build confidence and slay focused on their education and personal development. any of our student athleles go to college to play they game they love. A stronger, more competitive footbell program may attract attention from colleges and universities, leading cholership opportunities for playors. These scholarships could allow talented students to pursue higher education, which benefits the city by producing graduates who contribute to th workforce and ovarall development of Barstow.
Wth better funding, Barstow football could expand its outreach to include more students, providing them with a chance to be physically active and healthy. This could improve the overal health of the youth in Barstow, decreasing issues ike obesity and promoting a healthler lifeatyle. A successful and well-funded football program can be a source of pride for futuro generations. It may even inspire future students to contribute back to the community, continuing the cycle of support and growth.
Lastly, by securing a fund, Barstow Foolball Boosler Club could elevate both the athletic and social dynamics of the city, benefiting students, familles, local businesses, and the community at large.

A detailed budget stating the total cost of the activity or event, all sources and amounts of funding, and all expenses;
Event/Activity Budget Breakdown
1. Total Event Cost Estimate
• Total Budget: $31,815.72
Budget Summary
Category Estimated Amount
Riddell Axiom helmets $23,521.72
Cooling station $5,709
Fleece lined sideline cape $23,251.72
The funds, waiver of fees, or in-kind services are likely needed for the Riddell Axiom helmet, cooling station, and fleece sideline coats for the Barstow football booster club for several reasons. Here's a breakdown of why each of these items might require financial support or services:
1. Riddell Axiom Helmets:
• Cost: High-quality football helmets like the Riddell Axiom are essential for player safety, but they are also expensive. For a high school or community sports program, purchasing multiple helmets could exceed the budget allocated for equipment. • Safety & Compliance: Helmets like the Riddell Axiom are designed with advanced Tety technology to reduce head injuries, including concussions. Schools and boost ubs are responsible for ensuring player safety and meeting equipment standards. Th means investing in top-tier helmets that might not be affordable without additional funding or in-kind donations.
• Regular Replacement: Helmets must be replaced periodically (usually every 3-5 years) to maintain safety standards, especially with new concussion research and standards from organizations like NOCSAE (National Operating Committee on Standards for Athletic Equipment).
2. Cooling Station:
• Heat Safety: A cooling station provides a critical safety measure during hot weather, especially for athletes practicing or playing in the summer or early fall months. Cooling stations help prevent heatstroke and dehydration, offering athletes a chance to cool down between plays or drills.
• Equipment Cost: Cooling stations, which often include cooling towels, ice packs, misters, and hydration stations, can be expensive. The cost of purchasing, setting up, and maintaining these stations can be a burden on smaller programs without external support. • In-kind or Fee Waivers: Schools may seek external support in the form of waivers or donations to help cover the costs of the equipment or the logistics involved in maintaining a cooling station, especially if the budget is tight.
3. Fleece Sideline Coats:
• Player Comfort & Warmth: During cold-weather games or practices, keeping players comfortable on the sideline is important for preventing injuries. Fleece sideline coats provide warmth and ensure players stay healthy between plays or during downtime. • Uniform Consistency: For the sake of team cohesion and appearance, the booster club might want to provide matching sideline coats for all players, coaches, and staff. This requires funds to cover the purchase of these items, particularly if they want them to be high-quality and durable.
Affordability: Fleece coats can add up in cost when purchasing enough for an entire team or staff. Booster clubs often rely on fundraising efforts to cover such expenses.
Why Funds/Services Are Needed:
• Budget Constraints: Many high school or community-level sports programs, like Barstow football, operate with limited budgets and rely on booster clubs to raise additional funds. Purchasing necessary gear and equipment often exceeds what is available in their standard operating budget.
• Fundraising & Support: The booster club may not have the resources or capacity to cover these needs on their own, so they seek donations, sponsorships, or in-kind services (e.g., equipment discounts, donated services, or labor). • Health & Safety Concerns: Proper equipment is essential for ensuring the players' health and safety during practices and games. If the booster club can secure funding or donations, it reduces the financial burden on the program while ensuring players get the equipment and support they need.
In essence, these funds or services are needed to ensure that Barstow football has access to the vironmen drafe layers res necessing so provide a safe, fective, and comfortabie A description of the organizations or group's purpose or objective.

When it comes to the 3D scanning of your players, we ask that you inform their parents that, in the next few days or weeks, a representative of Riddell will be at your school to take head scans. You should let them know that those scans will generate certain head shape information and data that will then be used to:(I) evaluate helmet fit and sizing options for each Player; and (ii) provide a personalized football helmet for each player. Importantly, unless you inform us otherwise, we will assume that every Player that participates in the head scanning process has the permission of their parents to do so.
Again, we thank you for choosing Riddell Axiom and are excited to work with you and your players.
Best Regards,
Team Riddell

Background Process for Board Members, General Members and Coaches
1. Board Members
The Board is responsible for overseeing the operations and success of the Booster Club, ensuring that it supports the high school football team and meets the mission of the organization. The process for selecting and managing Board members includes the following:
• Qualifications:
The Board must consist of at least three officers: President, Secretary, and Treasurer. Additional optional positions can include Vice Presidents) and other roles such as Fundraising Director, Concessions Manager, Game Day Coordinator, and Special Events Coordinator. • Eligibility for President: To be eligible for the President position, a member must have served at least one term on the Board or have been an active General Member for two years.
• Nomination and Elections:
Board members are nominated by General Members and elected at the annual General Membership meeting in November. Nominations can be submitted in advance or made from the floor during the meeting. Voting is conducted via secret ballot.
Removal of Board Members:
If a Board member's actions are detrimental to the club or they are unable to fulfill their duties, the Executive Board or General Membership may vote to remove them. A two-thirds majority vote is required for removal. The position is then filled by a new appointment from the Board.
2. General Membership
General Membership is open to individuals who support the Booster Club's mission. The process for obtaining membership is as follows:
• Eligibility for Membership:
Membership is granted to individuals who contact a Board member and provide necessary information. Members must agree to support the purpose of the Booster Club and adhere to its bylaws. Eligible categories include:
• Parents of football players: Automatically granted membership. • Current BHS football coaches: Granted membership once approved by BUSD. • BHS football alumni: Granted membership.
• Special Members: Individuals, companies, or organizations with an interest in supporting the football program can be granted membership by the Board. • Voting Rights:
General Members have voting rights on Board elections and Board-approved items at General Meetings, provided they meet the attendance requirement of attending at least 2 of the last 3 General Meetings.
• Participation:
All General Members are encouraged to actively participate in club activities, attend meetings, and volunteer for fundraising or events. Active participation helps ensure they are eligible to vote.
3. Attendance and Participation
• Board Attendance:
Board members are expected to attend all meetings. Missing two consecutive meetings will be addressed by the Board, and three consecutive absences could result in the termination of the position unless otherwise discussed and voted on by the Board. • General Member Attendance:
To vote at General Meetings, General Members must have attended at least two of the last three meetings. This ensures that members who vote are actively engaged in the decision-making process.
4. Committees and Chairpersons
In addition to the Board, the Booster Club has various committees and chairpersons who handle specific tasks. These include roles like Concessions Manager, Fundraising Director, and Scholarship Committee Lead. Board members can hold these positions as long as there's no conflict with their duties as Board members.
5. Coaches
While the Barstow High School Football Booster, Inc. does not directly hire coaches, we understand and support the district's process in ensuring that all coaches hired are thoroughly vetted. Coaches are hired through the Barstow Unified School District.
