AGENDA ITEM
AGENDA MATTER:
APPROVAL OF THREE-YEAR LEASE AGREEMENT WITH DELL TECHNOLOGIES FOR NEW POLICE MOBILE DATA COMPUTERS (MDC).
EXECUTIVE SUMMARY:
Staff recommends that the City Council approve a three-year lease agreement with Dell Technologies for the 20 police Mobile Data Computers (MDC), including mounting brackets, for use in police department patrol vehicles.
DISCUSSION:
The police department is requesting approval to enter into a three-year lease agreement for 20 new mobile computes and mounting brackets for installation in department patrol vehicles. This agreement is necessary to replace outdated computers currently installed in the fleet that have reached the end of their useful life. The existing computers are obsolete and can no longer be repaired because compatible parts and manufacturer support are no longer available.
Replacing these outdated systems will provide officers with reliable, up-to-date technology that supports daily law enforcement operations, including access to computer-aided dispatch (CAD), records management systems (RMS), report writing, and other mission-critical applications while in the field. The new equipment will improve reliability, reduce downtown, and help ensure officers have dependable access to the technology needed to perform their duties safely and efficiently.
No separate Request for Proposal (RFP) was conducted because the procurement is being made pursuant to a cooperative purchasing agreement through NASPO, which allows participating public agencies to utilize competitively solicited contracts established through the cooperative purchasing program. Dell Technologies is used for all City computers, and this agreement would provide continuity of service, operational efficiency, and consistency.
This lease agreement with Dell Technologies will be billed as follows:
· Year 1 $33,519.57
· Year 2 $33,519.57
· Year 3 $33,519.57
Grant Total $109,058.35
FISCAL IMPACT:
The cost of the agreement will be funded through the current approved budget. Sufficient funds are available within the current fiscal year budget. Future funding will be subject to annual budget appropriations. GL Account 1022005 5812
