TO: Honorable Mayor and Members of the City Council
ATTENTION: Ryan Smoot, City Manager
FROM: Mayra Ochiqui, City Clerk
SUBJECT: Consideration and possible action to authorize the City Manager to execute Amendment No. 1 to AFN 1043 with Corodata Records Management, Inc., in a form approved by the City Attorney, to clarify and update the fee schedule.
DATE: June 22, 2026
EXECUTIVE SUMMARY
The City Council approved Agreement File No. 1043 with Corodata Records Management, Inc. (Corodata), on May 13, 2024. The City’s records were transferred from the previous records management provider to Corodata’s custody. As part of the new agreement, the City received records storage services free of charge through December 2025 to help cover the costs associated with withdrawing the records from the previous provider. When Corodata completed the inventorying of the City’s approximately 1,600 boxes of records, they discovered that there were box types and sizes included in the inventory that were not listed on the approved fee schedule in the agreement. This caused challenges when processing invoices. If approved, this Amendment will clarify the fee schedule to include the additional box types and sizes found in the City’s current records inventory so that records storage services can be provided and billed without further interruption.
