RECOMMENDATION
Staff recommends that City Council move to approve a change purchase order to Western Water Works Supply Company in the amount of $190,000 for a total not-to-exceed amount of $200,000 for the purchase of waterworks supplies for Fiscal Year (“FY”) 2023/24.
INTRODUCTION
The City of Beverly Hills Water Utility provides a critical service by supplying reliable and excellent water quality to Beverly Hills and a portion of West Hollywood. Ensuring this vital service remains continuous and experiences minimal disruptions requires multiple vendor suppliers to provide the necessary waterworks parts and supplies during normal operations and emergencies. The City purchases various waterworks supplies to support installing, maintaining, and repairing various components of the water distribution system.
DISCUSSION
On July 28, 2023, Request for Bids (RFB) 24-350-08: Waterworks Brass Fittings/Valves/Saddles/Couplings/Clamps was released through PlanetBids. On August 11, 2023, the City received five (5) bids, as listed in the table below. This bidding process intends to secure participating vendors on an as-needed basis for the most advantageous prices for the City. The bid tabulation results are summarized below:
Meeting Date: September 12, 2023
Order Vendor Bid Amount
1 Western Water Works Supply Company $462,146.34
2 S&J Supply Co. $476,843.94
3 Ferguson Waterworks $480,643.41
4 Core & Main $485,048.90
5 ICONIX Waterworks $506,024.93
Due to supply chain delays, staff recommends awarding a purchase order for FY2023/24 to all bidders. Awarding to various vendors will ensure the availability and delivery of waterworks materials for the City whenever needed and should lead to more competitive prices from vendors. The only purchase order requiring City Council approval is for Western Water Works Supply Company. Currently, the City holds a $10,000 purchase order with Western Water Works Supply Company. Awarding an additional $190,000 will bring the total to $200,000.
FISCAL IMPACT
Funds are available and budgeted for in the Water Enterprise Fund.
