RECOMMENDATION
Staff recommends City Council approve a change purchase order to Kar-Machine Inc.

DBA California West Coast Paint & Body Shop for Fiscal Year 2023/2024 in the amount of $100,000 for a total not-to-exceed amount of $200,000 for City fleet body repair and painting services.

INTRODUCTION
Through the normal course of Department operations and accidental occurrences, Fleet Services finds vehicles and equipment that need body repair and painting services. These services are necessary to ensure the vehicles in the City fleet are safe, reliable and in good condition.

DISCUSSION
After a competitive bidding process, on September 15, 2020, City Council approved an agreement between the City of Beverly Hills and Kar-Machine Inc. DBA California West Coast Paint & Body Shop (“California West Coast Paing & Body”) for vehicle body repair and painting services. Staff chose this vendor because of their competitive pricing, quality of work, location of shop, and being receptive to giving priority to the City’s public safety vehicles.

This change purchase order is to ensure that Fleet Services has sufficient funding to address any unanticipated vehicle repairs for the remainder of the fiscal year. Since the start of the agreement, the City has issued purchase orders to California West Coast Paint & Body each fiscal year for approximately $100,000. In the current Fiscal Year 2023/2024, there has been an increase in the amount of body repair and painting needs when compared to prior fiscal years. Staff requests an increase to the current purchase order to cover repairs through the end of the fiscal year.

FISCAL IMPACT
Funding for these services comes from the Fleet Services Fund-Vehicle Maintenance.

Staff has initiated a one-time budget transfer for Fiscal Year 2023/2024 from the Fuel Inventory Fund to Fleet Services Fund-Vehicle Maintenace to cover this change purchase order of $100,000, for a total purchase order of $200,000. No appropriation is needed.
