RECOMMENDATION
Staff recommends that City Council accept the described contract work by Henkels & McCoy, Inc. in the final amount of $120,670.59 and authorize the City Clerk to record the attached Notice of Completion.
INTRODUCTION
This report provides information to City Council for the acceptance of the contract work in the final amount of $120,670.59 and authorization for the recordation of the Notice of Completion by the City Clerk with the Los Angeles County Recorder.
DISCUSSION
On October 11, 2022, a contract in the amount of $111,256.34 was awarded to Henkels & McCoy, Inc. on the basis of sealed competitive bids received after public advertising for the FTTP System Maintenance & On-Call Services project. Additionally, a contingency of $11,743.66 (10.6%) was approved, for a total purchase order amount of $123,000.
Construction was completed on August 18, 2025 for a total cost of $120,670.59, leaving a purchase order balance of $2,329.41.
The project provided corrective repairs for overhead and underground fiber infrastructure.
Approximately 90 corrective actions on 76 different utility poles were completed. On-call extra work services included replacement of a damaged utility pole in the alley east of

Roxbury Drive just north of Santa Monica Boulevard, and underground fiber infrastructure repairs at Copley Place, Schuyler Road, and Hillcrest Road.
Engineering Division staff inspected all the work and is satisfied that the work was completed according to the contract documents approved for this project.
FISCAL IMPACT
The original construction contract purchase order (which included a contract amount of $111,256.34 plus a $11,743.66 contingency amount) was $123,000. With completed oncall work, and quantity adjustments, the final contract amount is $120,670.59, leaving a purchase order balance of $2,329.41, which will be returned to the fund balance.
The current amount paid on the contract is $114,637.06 with a retention balance of $6,033.53 due to be paid 35 days after the recordation of the Notice of Completion.
