Hello Robert,
We can do the same deal as we did in 2021
The cost of a 1/2 page color ad is $702.00 per run or $2106.00 for the 3 1/2 page ads. we will again be a $1000.00 so the net cost is only $1106.00 or $368.66 per run We will also include a story two weeks before the event.
Will this work for you?

We need a quote for advertising for this year's Heritage Day, currently set for 10/15. Same as in past-2 half-page runs before the event and one afterwards. We have a 3/25 deadline for COB Econ. Dev.
Grant so we need it before then. Thanks for your generous support in years past and we hope you can do so again. Thanks

Miles for Mayo
Saturday, April 15, 2023
1. Please describe the project/event in detail. Please include purpose of project/event, goals, location, date(s)/times, and other relevant information.
Miles for Mayo is a timed, family-friendly community event focused on commemorating the life of Matías “Mayo” Rogers, and helping others find inspiration through running. All proceeds from the event will support youth from local Brentwood high schools and the youth Delta Limitless Running Club.
Matías passed away at the age of 16 on June 16, 2021 in a tragic car accident. He will always be remembered as a son, brother, teammate, friend and loved one who had a deep passion for running and always offered his support, mentorship and laughter to others. Running lifted Matías’ spirits, challenged his ambitions and inspired him to reach new heights. He holds the fastest distance times for both a freshman and sophomore in Liberty High School’s history. He also recorded one of the fastest 3-mile times in the country for a sophomore in 2021 at 14 minutes, 57 seconds. Liberty High School named Matías its 2021 Boys Student Citizenship Award winner for exemplifying the highest grades, character, teamwork and athletic achievement of all of its students.
Miles for Mayo will host its second annual race on April 15, 2023 at 9:00 AM at the Veteran’s Park in Brentwood. The inaugural race will be held this year on April 16, 2022. The objectives of the event are to honor the legacy of Matías “Mayo” Rogers in his hometown of Brentwood, encourage other youth and members of the community to get active and to bring awareness and tourism to the City of Brentwood as it is recognized as a city that values family, health, positivity and camaraderie.
2. How will the project support the City Council’s Goals and Strategic Plan or the City’s overall Economic Development Plan/efforts AND how will the project promote a positive image and/or achieve positive publicity for Brentwood?
Miles for Mayo is a family-friendly event that will promote health and fitness in both youth and adults, and will attract people from all over the Bay Area and beyond to Brentwood. Local businesses in the area will receive recognition through sponsorships of the event including marketing promotion such as advertisements in the local newspaper, on social media channels such as Facebook, Instagram and Twitter, email blasts, community signage and banners, website presence and on-site recognition before, during and after the event.
3. How will the project encourage or increase shopping and tourist activity in Brentwood? With people traveling to Brentwood to participate in Miles for Mayo, local businesses will be visited both before and after the event such as cafes, restaurants and shops. We will encourage D.3.b
Packet Pg. 357 Attachment: Economic Development Grant Application FY 22-23 Competitive Cycle (2673 : ED Grants Competitive 22-23) attendees and volunteers coming from far out of town to stay in Brentwood hotels and also encourage all runners and volunteers to support our sponsors by visiting their businesses and ordering from them online. We anticipate 250 participating runners and 100 volunteers and audience members for 2022’s event, increased by an additional 100 people for 2023’s event.
4. How will the project build goodwill among local businesses and support the overall vibrancy and cohesion of the local business community?
100% of the proceeds of Miles for Mayo will go back into Brentwood’s local community by supporting youth running and education programs. Proceeds will be split between the Cross Country and Track programs of our three local high schools – Liberty High School, Heritage High School and Freedom High School – and a summer camp for youth runners through the Delta Limitless Running Club. Additionally, as the event grows, we intend to create a college scholarship in Matías' name for high achieving but underserved and financially challenged students.
5. How will the project reinforce the image of Brentwood as a high-quality community? Through event support, Miles for Mayo will recognize the City of Brentwood as an event sponsor throughout the year through at least two press releases, website presence, social media posts and banner media. We will promote Brentwood as a town that cares about its residences in the face of loss and challenges, and as one that supports the achievements and health of its youth in its community.
6. How will the project generate tax revenue, jobs, and other economic development benefits to the city?
Miles for Mayo is an annual fundraising event intended to raise money for youth beneficiaries. It will not directly generate local jobs for individuals, but will allow for a large gathering of people within Brentwood who are likely able to turn into consumers at local businesses both before the event during preparation and after its conclusion.
7. Will the project support small business development? If so, how? Miles for Mayo will not directly support small business development.
8. How will the requested funds be used? How will the project be effectively managed? How will financial issues be handled, such as: managing expenses and revenues, and demonstrating fiscal accountability?
Grant funds will support administrative and direct event costs including tables, participant shirts and medals, AV equipment, advertising, food and beverages, printing and web development. The event is 100% run by a team of volunteers.
9. How does this project minimize the need for City funding and maximize the City’s return on investment?
While Miles for Mayo will not directly support small business development, it will offer the City a return on investment as it will help fund deserving youth that will become our community’s future leaders. As we will provide proceeds to youth in-need that excel academically, we will be encouraging their pursuit of higher education which will likely lead to them participating in other D.3.b
Packet Pg. 358 Attachment: Economic Development Grant Application FY 22-23 Competitive Cycle (2673 : ED Grants Competitive 22-23) beneficial projects to the city such as business interning, philanthropic community service projects and even the pursuit of becoming members of our local government.
10. What City services/facilities (if any) will be required for your project? (Detailed Business Plan AND detailed Budget)
The event and gathering space will take place at Veteran's Park, 3841 Balfour Road. We will rent use of the restrooms and picnic tables. The permitted race will take place along East Bay Regional Parks District’s Marsh Creek Trail.
11. How will the project be marketed and advertised? Please be as specific as possible including targeted media and any partnerships or collaborative marketing related to your project (Marketing Plan)?
Miles for Mayo will be advertised on its website, https://www.milesformayo.org/. Sponsorships, runner registrations and supply donations will be solicited here and on our social media channels:

https://www.instagram.com/milesformayo/?hl=en
https://twitter.com/MilesForMayo/status/1490499818501804038 https://www.facebook.com/MilesForMayo/
We are looking to partner with like-minded business, individuals and members of our community that have a passion for giving back to youth sports and education, and market their support of Miles for Mayo throughout the year following next year’s race. We will also look to have media sponsors and participation to cover the event to bring about a larger awareness of our mission and the City of Brentwood.
12. Is this a first time project/event (new, creative)? If no, please explain previous experience.
In 2023, Miles for Mayo will be in its second annual year. Miles for Mayo will host its second annual race on April 15, 2023 at 9:00 AM at the Veteran’s Park in Brentwood. We hope to grow the event each year, providing increased benefits such as ongoing local tourism and academic achievement to the City of Brentwood, its youth and members of the community.
13. Is this project/event Eco-friendly?
Yes, we will abide by local laws regarding use of eco-friendly materials and provide exceptional porter services following the conclusion of the race.

Meeting Date: May 10, 2022
Subject/Title: Council discussion and possible direction to staff regarding the planned celebration of the City's 75th Anniversary of incorporation; and incorporating the estimated cost into the 2022/23 - 2023/24 General Fund Operating Budget draft.
Prepared by: Diane Williams, Executive Assistant
Submitted by: Tim Ogden, City Manager
PURPOSE AND RECOMMENDATION
The purpose of this item is to provide City Council an update on the preparations for the City’s celebration of its 75th Anniversary, which is January 21, 2023. The events and activities noted have been suggested by a diverse internal employee committee, and are intended to occur throughout the year of celebration.
It is recommended that City Council discuss and provide feedback on these conceptual plans and direct staff to incorporate the estimated cost of $75,000 into the FY 2022/23 – 2023/24 Draft Operating Budget for consideration of approval at the June 14, 2022 City Council meeting.
CITY COUNCIL STRATETIC INITIATIVE
Not applicable.
PREVIOUS ACTION
On February 22, 2022, Mayor Joel Bryant requested a future agenda item to discuss the celebration plans for the 75th Anniversary of the City’s incorporation.
On March 8, 2022, the City Council directed staff to return with plans to celebrate the 75th Anniversary of the City’s incorporation.
BACKGROUND
The City of Brentwood was incorporated on January 21, 1948. In recognition of the City’s 75th Anniversary in 2023, the City Council approved staff spending time and resources in the preparation of the anniversary celebration to occur in 2023.
An internal City staff committee with members from a variety of departments strategized various events including: co-brand the anniversary with existing events, community engagement activities, city employee opportunities including an anniversary logo, public safety badges, and public sales merchandise. Ideas and suggestions were also gleaned from the Brentwood Leadership Roundtable to provide opportunities for external engagement by their agencies, the Ghostlight Theatre Ensemble to create an original historical production, and the East Contra Costa Historical Society for historical input as well as collaboration on the 50th Anniversary time capsule from 1997.
The attached documents include conceptual events and activities, and a draft anniversary logo created by Recreation Supervisor Stacey Dempsey. With the City Council’s input on the concepts, a final plan and formal budget approval will be considered at a future meeting.
D.4
Packet Pg. 365
FISCAL IMPACT
Staff suggests a budget of $75,000 to align with the 75th Anniversary theme for all celebration plans, to cover activities, events, and collaterals. If the City Council approves the $75,000 allocation, the amount will be incorporated into the FY 2022/23 – 2023/24 Draft Operating Budget, to be presented for consideration of adoption at the June 14, 2022 City Council meeting.

While there is allowance for each agency to individually determine if the public meetings will be held in person, virtual, or hybrid of both, the County encourages agencies to consider a method that takes into account a way that presents the lowest risk of transmitting SARS CoV-2, the virus that causes COVID-19. The CCHS recommended guidance is attached.
Based on this information, staff believes there are two viable options for Council to consider.
The two recommended options for consideration are in-person and a hybrid of in-person and virtual.
1. In-Person
This option will offer some normalcy for staff and the public to help the City get back to conducting City business in public spaces. Face coverings are recommended for anyone who attends public meetings, but not required. Vaccination status verification is not a CCHS recommendation, and so will not be considered. Seating arranged with six feet of separation is also recommended. Attendance tracking of meeting attendees is not recommended, and Contra Costa cities who hold in-person meetings have reported that they are not tracking who is present at public meetings.
2. Hybrid
This option will be an alternative to balance the needs of those who want to meet inperson and others who prefer to meet virtually. Current Brown Act rules will apply for any D.5

Council or Commissioner meeting virtually. If this option is chosen, face coverings are recommended for those who attend in-person, as well as the six feet of separation.
If authorized, the City Council would resume in-person meetings starting May 24, and city commissions would start as soon as feasible thereafter. The Council Chamber’s technology renovation project has been delayed until fall 2022, and the work involved may be disruptive to the scheduling of some in-person meetings.
FISCAL IMPACT
There would be no fiscal impact associated with either option. City Council meetings would continue to be staffed by Information Services staff and would include alternating camera angles and camera positions.
Other meetings requiring streaming would be set up in advance by Information Services and generally staffed by the department staff running the meeting. As such, enhanced technical production features (changing camera angles and positions) would not be available.
If directed to provide enhanced video production for all non-City Council meetings, an additional allocation of resources would be required. This could be accomplished through additional overtime of staff or a dedicated contract with a third party audio/visual production services firm.
Staff has not obtained quotes for these services but estimates costs of approximately $200 per hour.

Recommendations for safely holding public meetings
Each local government agency is authorized to determine whether to hold public meetings in person, on-line (teleconferencing only), or via a combination of methods. The following are recommendations from the Contra Costa County Health Officer to minimize the risk of COVID 19 transmission during a public meeting.
1. Online meetings (i.e. teleconferencing meetings) are encouraged, where practical, as these meetings present the lowest risk of transmission of SARS CoV-2, the virus that causes COVID 19. This is particularly important when community prevalence rates are high. Our current trends as of April 15, 2022 in Covid-19 case rate and Covid-19 hospitalizations have plateaued at this time, but wastewater surveillance data and COVID-19 test positivity has been increasing. In addition to this, the predominant variant of Covid-19 being identified continues to be the Omicron variant, the impact of which on the spread of Covid-19 has shown to dramatically increase COVID-19 transmission.
2. If a local agency determines to hold in-person meetings, offering the public the opportunity to attend via a call-in option or an internet-based service option is recommended, when possible, to give those at higher risk of and/or higher concern about COVID-19 an alternative to participating in person.
3. A written safety protocol should be developed and followed. It is recommended that the protocol require social distancing, where feasible – i.e. six feet of separation between attendees; and consider requiring or strongly encouraging face masking of all attendees and encouraging attendees to be up-to-date on their COVID-19 vaccine.
4. Seating arrangements should allow for staff and members of the public to easily maintain at least six-foot distance from one another at all practicable times.
5. Consider holding public meetings outdoors. Increasing scientific consensus is that outdoor airflow reduces the risk of COVID-19 transmission compared to indoor spaces. Hosting events outdoors also may make it easier to space staff and members of the public at least 6 feet apart.
6. Current evidence is unclear as to the added benefit of temperature checks in addition to symptom checks. We encourage focus on symptom checks as they may screen out individuals with other Covid-19 symptoms besides fever and help reinforce the message to not go out in public if you are not feeling well.
7. Consider a voluntary attendance sheet with names and contact information to assist in contact tracing of any cases linked to a public meeting.
