Scope of Work
This Project is to upgrade the broadcast technology for the City of Burbank. We are targeting a 2 week installation timeline for the totality of this project, We are aiming to upgrade a number of the following aspects of the system:
We are aiming to upgrade the reliability of the floor box hdmi inputs by replacing them with custom plates that have the ports at the bottom, so that the lids have room to close with a cable still plugged in.
SDI patch Panels will allow us to easily bypass the routers and switchers if they ever experience any sort of failure in both csb104 and city hall Integrate in-room timers in both csb104 and council chambers with existing ross xpression via serial links to display, as well as modernize timers in csb104 with a wireless controller and wall display
Introduce the Companion automation platform to the productions to increase production efficiency and allow for new and allow for more complex integrations
Transition ross LCS system to dedicated desktop computer for increased reliability and stability Add more shure wireless gooseneck microphones to csb104 We will be upgrading the already overburdened AEC processing of the audio system in CSB104 by switching to a high-capacity q-sys audio DSP Increase redundancy by breaking out floorbox audio inputs into Yamaha Tio and splitting the audio at the dante level; ergo bypassing the dsp for audio into the mixer

Proposal for Key Code Total Care
Key Code Media is excited about the possible partnership and what we can bring to the table to assist. Key Code has an engineering team spread throughout the country with certifications from numerous vendors. We are proud of this and what it means to our clients. Having such a large engineering team gives our clients a much quicker response time. It also means no gaps in coverage due to sickness or vacations. Our engineering team is also cross trained and certified in numerous forms of media production and networking technology. Having such a diverse knowledge base allows Key Code to support many different systems and give the clients a maximum return on their support investment. It allows Key Code to evaluate client needs from multiple points of view, to ensure the best solution that fits the client’s need. Both short term and long term.
Key Code support hosts its own secure remote access support system. This system is much like a TeamViewer remote access, with the exception that it’s hosted by Key Code Media and sits behind our firewall. As part of City of Burbank and Key Code Media support agreement, we can install this lightweight utility on all City of Burbank servers and editors at the discretion of City of Burbank staff. This will allow a support engineer to log in and see what the operator is seeing in real time. In addition to remote support Key Code utilizes Zendesk to log and track support issues until they are solved. A bi-yearly meeting will be scheduled to review support tickets, time spent, and our performance.
This proposal will cover four major areas of support needed at City of Burbank facilities:
1. Day to day issues as they arise
2. Maintenance Visits
3. Emergency Visits
4. Covered Technologies
Day to Day Issues
For day-to-day issues that arise City of Burbank will have access to our Key Code Media support.
An operator can simply email or call to open a ticket. The ticket will be issued to the engineer on duty for that day. If they cannot resolve the issue, they will either enlist the rest of Key Code Media engineering support staff or open a case with the vendor on behalf of City of Burbank.
Maintenance Visits
The 1-year contract includes 40 hours of support to be used over the contract period. Pre- scheduled visits will allow the time to be used efficiently over the year contract. When the contract expires all remaining hours will be null and void.

If an onsite visit outside of the standard remote support is needed, Key Code can provide a technician (if available). Adding additional hours to the contract is allowed. - Onsite visits, $150/hr.

Legal Disclaimer
Additional Services: After initial purchase, if there are additional services required by the customer outside of the original Quote a change order will be issued to cover costs.
Customer Furnished Equipment (CFE): Existing equipment and CFE are not the direct responsibility of Key Code Media. If this equipment interferes with our ability to complete the project an additional quote for labor may be required for completion. Existing equipment and CFE will not prohibit the sign off on any project. 3rd party vendors: Key Code is not responsible for 3rd party vendors or software. Any equipment or software purchased outside of Key Code will not affect the delivery or sign-off of any project.
Security: Please note; to reduce the possibility of hacking, it is the client’s responsibility to evaluate its own security risk and take all measures deemed necessary by your IT department. Only by request, can KCM engineers in conjunction with manufacturer support, assist your IT department with making password changes on storage, archive, editorial, etc.; otherwise, product will be delivered and deployed with default passwords as set by the manufacturer. This should be no less important than would your password for your email, cell phone, bank account, etc.
Delivery/Acceptance: Keycode Media has the right to delay job schedule due to a 3rd party contractor’s job completion. Keycode Media will delay the job completion, for every day that the job is delayed by a 3rd party. Keycode Media will install per the agreed date pending product availability, it will be a joint decision of installation on both parties pending manufactures back-order items. Clients have the right to refuse installation if all parts ordered through Keycode Media are not available the day of the installation.
Travel: If travel is involved then there is a 48-hour cancellation policy. If travel cancellation occurs before the 48-hour period there will be a penalty charge applied, if it occurs after the 48-hour mark the full travel amount will be charged.
Environment: Power and power distribution is not the responsibility of Keycode Media unless specifically defined within this Scope of Work.
Business hours: Unless otherwise noted, all labor is quoted based on normal business hours. 9am to 6pm Monday through Friday.
Project Conclusion: At the conclusion of this installation Key Code Media will provide a 30- day window of phone/remote support covering installation related issues. In this 30-day window, KCM will render assistance with manufacturer-related defects encountered by way of either repair, and or return, dependent upon manufacturer’s warranty specifications. This support would not include training, unless otherwise purchased, nor would it cover issues arising from upgrades performed after the installation has concluded. Such upgrades could otherwise cause the technology installed to either malfunction, or not function as originally designed or intended by the manufacturer.
