Camarillo City Council
AGENDA REPORT
Date: January 24, 2024
To: Honorable Mayor and Councilmembers
From: Greg Ramirez, City Manager
Submitted by: John Thomas, Assistant Administrative Services Director Subject: Award Equipment Replacement for Project Number AS-2023-8, Front Loader
BACKGROUND
Staff annually reviews and revises the vehicle and equipment replacement schedule based on the age, estimated life expectancy, mileage, and maintenance costs. Vehicles and equipment are often kept in service past their scheduled replacement year if they are still operable and in good working condition. Purchases are made with those that are most fuel efficient, cost-effective, meet the needs of the city, and available for purchase from manufacturers.
The City Council approved purchases of new and/or replacement vehicles and equipment with the adoption of the Fiscal Year 2023/24 Budget.
DISCUSSION
Staff obtained a quote for a 2024 model year Front Loader from Coastline Equipment of Oxnard, to replace the 12 year old front loader, (Unit 350) at the Water Reclamation Plant, utilizing cooperative contract pricing through Sourcewell, as allowed for in the City’s Purchasing Policy. Sourcewell Contract #011723-JDC will be utilized for the purchase.
Staff requests authorization to purchase the replacement Front Loader for $196,507, and approval of a 25% contingency in the amount of $49,125 based on manufacturers price increases experienced with other recent purchases, for a total expenditure of $245,632.
FISCAL IMPACT
Funds for the purchase of the Front Loader are included in Vehicles & Equipment Fund, Capital Purchases Account No. 540-5540-455.91-33.
CEQA DETERMINATIONS
City staff has determined, in accordance with Section 15061(b)(3) of the California Environmental Quality Act (CEQA) Guidelines, that equipment purchases are not subject
