Subject: Extension of Agreement with Pleasant Valley Recreation and Park District for the Summer Concert Series

BACKGROUND
On March 8, 2023, the City Council approved Agreement No. 2023-6 (Agreement) with the Pleasant Valley Recreation and Park District (District) for the coordination and management of the 2023, 2024, and 2025 Summer Concert Series in Constitution Park.

The Agreement outlined the multi-year terms of the agreement, funding allocations, and responsibilities between the City and District, and provided an option to extend the agreement for two (2) additional one-year terms.

DISCUSSION
The proposed First Amendment to Agreement No. 2023-6 (Agreement No. 2023-6A) exercises the option to extend the agreement for two (2) additional one-year terms, thereby continuing the partnership between the City and District for the 2026 and 2027 Summer Concert Series.

The Agreement is amended to include funding for the 2026 and 2027 Summer Concerts Series, as follows:
a) $105,741.18 including a 10% contingency for unforeseen expenditures for a total amount of $116,315, and approximately $5,500 in direct services and in-kind event staffing support, as needed, for a total funding amount not to exceed $121,815 for the 2026 Summer Concert Series.
b) $110,120.33 including a 10% contingency for unforeseen expenditures for a total amount of $121,132, and approximately $5,500 in direct services and in-kind event staffing support, as needed, for a total funding amount not to exceed $126,632 for the 2027 Summer Concert Series.

If approved by the City Council, Agreement No. 2023-6A will be presented to the District Board of Directors for consideration at their regular meeting on November 5, 2025.

FISCAL IMPACT
Funds for the 2026 Summer Concert Series are included in the General Fund Cultural Arts Services/Community Support budget, Account No. 101-4500-469.46-44. Funding for the 2027 Summer Concert Series will be included in the proposed FY 2026/27 budget.
