CITY OF COMMERCE AGENDA REPORT

TO: Honorable City Council

FROM: City Manager
Item No.

SUBJECT: A Resolution Authorizing the Purchase of the Unitrends Recovery R9040S Appliance and a 2-Year Retention Cloud Subscription from Computer 1 Products Solutions

MEETING DATE: November 22, 2022

RECOMMENDATION:

Approve the proposed Resolution, which authorizes the City of Commerce to purchase a Unitrends Recovery R9040S Appliance and a 2-year retention cloud subscription from Computer 1 Products Solutions for the amount of $68,830.

BACKGROUND & ANALYSIS:

Each year, the City’s need for data storage grows exponentially resulting in the need to expand our ability to store and recover data. As the City of Commerce data system continues to grow with new technology, it is crucial that a mechanism is put into place to secure and restore the City’s data and maintain service continuity.

The City of Commerce currently operates two (2) Unitrends Recovery model 824 file storage and backup systems located in the City Hall computer room. They are an integral part of our VMWare, Data Backup, Data Restoration, Disaster Recovery between sites and our Storage Area Network. These backup units have fulfilled their original purpose as the main backup and recovery appliance. However, they have now reached the end of life status and can no longer be renewed for support and thus relied on by the City. In order to preserve new important data against loss or corruption, it is necessary for the City to upgrade to a robust back-up server. In event of a emergency this device is capable of providing two years of historical back up data both on site and in the cloud.

The new Unitrends Model R9040S Recovery Series Appliance back-up server is an all-in-one appliance that combines software, storage, and computing into one box for easy-to-manage backup with built-in cloud integration that will work seamlessly with the existing Unitrends appliances.

Information Technology staff reviewed quotes from GovConnection, SHI and Computer 1 Products. Upon further review staff concluded that the solution provided by Computer 1 Products best met the City’s needs due to:

Technical capabilities (e.g. hierarchical storage and encryption) Continuity of operations
Ease of management
Lowest total cost

The following three (3) quotes were received by Information Technology staff.

SHI International|$72,098.74|
GovConnection|$70,929.38|
Computer 1 Product|$68,830.00|

ALTERNATIVES:

1. Approve staff recommendation

2. Provide staff with further direction

FISCAL IMPACT:

The total cost for the appliance and three (3) years of support is $68,830.00. If approved, funding for this item will come from the Fiscal Year 2022/23 General Fund surplus.
