Jan 11, 2022 Members reviewed Citywide Facilities Data prepared by staff. For next meeting requested:
1. Obtain more specific usage data for 5 City facilities:
a. Winn Room
b. Grand Room
c. Nautilus Room
d. Playhouse
e. Boathouse
2. Provide modest list of Winn Room improvements necessary to bring it from outdated 1970s to current 2022.
3. Provide list of policy changes necessary to accommodate library programs and goals within scope of City venues. For example, for the Library to manage Grand Room bookings.
Feb 22, 2022 Members reviewed data provided requested at Jan 11th meeting (Attachment 2). For next meeting, requested cost estimates for 4 options:
1. Winn Room Only Upgrade without moving walls
2. Winn Room Raise Ceiling/Roof including the interior upgrades in item 1
3. John D. Spreckels Center Grand Room AV Upgrade
4. Winn Room Expansion: Select one of the two options already developed and update cost estimate.
April 21, 2022 Members review cost estimates of 4 options. For next meeting, request staff to prepare information that will be taken to Council regarding the 4 options.
1. Description of each option explaining the merits of each i.e. what experience is improved, what will we accomplish if we make these changes?
2. Include details like the size of the space, how many seats?
3. Include a graphic or sketch to help illustrate.
4. Include cost estimates.
May 26, 2022 Reviewed summaries of 4 options:

Sept 27, 2022 A meeting was held to discuss the potential for adding an Option 5, a reduced cost expansion concept. Members requested
information and analysis on current rental rooms (incl. capacities, usage, and cost recovery rates) and comparisons of the five room options (incl. acoustics, A/V, furniture and fixtures.
May 10, 2023 Committee members reviewed additional plan Option 5, and room usage and comparison data, and requested additional updates to plans. Also discussed future public outreach to ensure participation moving forward.
