VISUAL SYSTEM UPGRADE PROJECT
Date: May 13, 2025
Written by: Kevin Patterson, Deputy City Clerk
Recommendation
It is recommended that the City of Cotati City Council adopt a resolution accepting the Council Chamber Audio Visual System Upgrade Project and direct the City Clerk to record the Notice of Completion.
Background
In 2024, the City Council directed staff to work on upgrades to the current Audio-Visual Systems in the Council Chamber, to improve reliability. To accomplish this, the City contracted with the Shallack Collaborative to design a system that meets the City’s needs.
Analysis/Discussion
On September 24, 2024, City Council awarded the construction contract for the project to Coda Technology Group. Work was completed offsite in October and November, and on-site work began on December 11, 2024, after the last Council meeting of the year. The project was substantially completed on January 10, 2025, and staff began using the new system at the first Council meeting of the year on January 14, 2025. Over the next few months, staff identified minor bug fixes and changes. City staff have determined that the work has been completed in accordance with the contract documents and recommend it for acceptance by the City Council.
Financial Considerations
The total approved budget amount for this project was $306,000. The project came within this budget, and the total expenses were $300,291. Unspent Project funds are to be returned to the unappropriated General Fund.
Environmental Issues
This action was found to qualify for a Class 1 Categorical Exemption under CEQA Section 15301, in that the project consisted of the operation, repair, maintenance, permitting, leasing licensing, or minor alteration of existing public or private structures, facilities, mechanical equipment, or topographical features, involving negligible or no expansion of the existing or former use.
