STAFF REPORT
AGENDA ITEM 11
MEETING DATE April 3, 2024
PREPARED FOR Mayor and Town Council
PREPARED BY Loren Umbertis, Director of Public Works
SUBJECT Authorize Town Manager to Execute and Pay for a Contract with Maggiora & Ghilotti for the Roadway Stabilization Project at 54 Pine Drive in an Amount Not to Exceed $36,980, with an Additional Contingency of 10%, for a Project Total of $40,678.

RECOMMENDATION
Authorize Town Manager to execute a contract with Maggiora & Ghilotti for the roadway stabilization project at 54 Pine Drive in an amount not to exceed $36,980, with an additional contingency of 10%, for a project total of $40,678.

DISCUSSION
Staff have observed erosion in a section of the downhill roadway support system near 54 Pine Drive, as depicted in Attachment B. To address this issue, Miller Pacific Engineering Group was engaged to create construction drawings. Four local civil engineering contractors were invited to provide estimates for the project, assessing the site and specifications before submitting their estimates. The estimates received are summarized as follows:

CONTRACTOR BASE ESTIMATE
Maggiora & Ghilotti $36,980
RWR Construction $42,994
Farallon Construction $58,145
Linscott Engineering $73,800
After thorough review, Staff recommend awarding the construction contract to Maggiora & Ghilotti, considering their responsible and responsive estimate. Additionally, a 10% contingency of $3,698 is proposed to address unforeseen circumstances during the project. As the project cost exceeds the Town Manager's authority for authorization, Staff requests authorization from the Town Council for the Town Manager to award the contract to Maggiora & Ghilotti.

FISCAL IMPACT
Funds for the project are available from the Streets and Roads Resurfacing general ledger account 53- 887. Maggiora & Ghilotti's bid is not to exceed $36,980, with an additional $3,698 for contingencies, resulting in a project total of $40,678.
