CITY OF FAIRFIELD
RESOLUTION NO. 2025-179
AUTHORIZING AN AMENDMENT TO THE HOSTING, LICENSING, AND SUPPORT AGREEMENT WITH MAINSTAR, INC.
WHEREAS, the City of Fairfield has acquired licensed software solutions (“ MaintStar System”) from Provider pursuant to the terms of a Service Agreement entered into between MaintStar and city dated January 1, 2015 (the Services Agreement” ), and that Services Agreement is currently active and in place with the City; and
WHEREAS, the City upgraded to a cloud based hosted system in September 2022, including future updated releases, ongoing maintenance and support, data conversion, training, and professional services for migration and deployment of the cloud-based system; and
WHEREAS, the current three-year agreement term with set pricing ends August 2025; and
WHEREAS, the City Information Technology Department proposes to amend the agreement to extend the term for another three years, with optional auto-renew at no-to-exceed 5% per year.
NOW, THEREFORE, THE COUNCIL OF THE CITY OF FAIRFIELD HEREBY RESOLVES:
Section 1. The City Council authorizes an amendment to the Hosting, Licensing, and Support Services Agreement with MaintStar, Inc. for 3-year renewal in the amount of $ 225,405.48, plus $22,540.55 contingency, for a total of up to $ 247,946.03. Costs will be allocated across the following seven account codes, with five codes contributing 1/6th ( 10160201-8418, 10160206- 8418, 10160300 -8418, 10160310 -8418, 25560308 -8418, and 46160602 -8418) and two codes 1/12th (17960305-8418 and 46160601-8418).
Section 2. The council hereby authorizes the city manager or designee to take all steps necessary or useful to implement this resolution.
