RESOLUTION NO. 2025-202
APPROVING RENEWAL OF MICROSOFT ENTERPRISE AGREEMENT FOR ON-PREMISES
LICENSING WITH CRAYON SOFTWARE EXPERTS, LLC
WHEREAS, the City of Fairfield (City) is currently engaged in an Enterprise Agreement with Microsoft for software products supporting its server environment and business applications; and
WHEREAS, Microsoft software is a critical foundation of the City’s business operations, enabling communication, collaboration, and delivery of essential services; and
WHEREAS, the current enrollment in the Microsoft Enterprise Agreement Program with Crayon Software Experts, LLC, authorized by Resolution 2022-258, will expire on October 31, 2025; and
WHEREAS, the City is purchasing this renewal through the County of Riverside's joint volume licensing program , a competitively bid cooperative purchasing agreement that allows government agencies to obtain best-value pricing without issuing a separate solicitation; and
WHEREAS, the City desires to renew the Microsoft Enterprise Agreement with Crayon Software Experts, LLC to provide Microsoft Enterprise on-premises licensing for a new three-year term.
NOW, THEREFORE, THE COUNCIL OF THE CITY OF FAIRFIELD HEREBY RESOLVES:
Section 1. The renewal of the Microsoft Enterprise Agreement with Crayon Software Experts, LLC for a period of three years is hereby approved, and the city manager is hereby authorized to execute the required forms attached hereto as Microsoft Enterprise Enrollment to renew the City's enrollment for a cost of $ 364,371.15 (On-premise $342,339.15 and Co -Pilot $22,032.00) from the Computer Fund (Project OITMSELCOP).
Section 2. The city manager is hereby authorized to acquire additional licenses (contingency), in an amount not to exceed $ 18,218.85, during the three -year term of the Agreement, that are legally required to comply with the annual Microsoft licensing true -up audit performed by Microsoft in coordination with City Staff.
Section 3. The city manager is hereby authorized to take all steps necessary to implement this resolution.
