STATEMENT OF ISSUE
Approval of the attached resolution will authorize the city manager to purchase three replacement shop doors for the Fleet Management Division main shop from National Garage Door Co. in the amount of $188,465.36 which includes removal and installation.

DISCUSSION
The Fleet Division Maintenance Shop (Main Shop), now 35 years old, requires both preventive and predictive maintenance to ensure continued safe and reliable operation. The large shop bay doors currently used have reached the end of their useful life and are increasingly unreliable. The original door systems are obsolete, costly to maintain, and replacement parts are difficult to source. Additionally, the door control systems are failing frequently and present a significant safety concern within t he Main Shop. These systems are responsible for raising and lowering heavy metal door panels while vehicles and staff pass through the bays, and their unreliability increases the risk of injury, operational delays, and potential damage to equipment and vehicles.

To address these concerns, staff propose replacing the existing system with new Teledoor systems. The upgraded doors will significantly improve operational reliability, enhance safety, and increase overall efficiency within the Main Shop. Modern co ntrol systems and readily available replacement parts will also reduce ongoing maintenance costs and downtime.

Staff reached out to three companies that sell and install these types of door systems - Byron Inc., Union Door, and National Garage Door Inc . - to provide quotes to furnish and install the three door systems. National Garage Door Inc. was the only company who provided a quote for this work.

Approval of this Resolution will authorize the city manager to purchase and have installed three bay shop door systems for the Main Shop from National Garage Door Inc. in the amount of $188,465.36. The replacement will address ongoing safety concerns, improve operational reliability, and ensure the facility can continue to effectively support fleet maintenance operations.

FINANCIAL IMPACT
The total cost of the three bay shop doors is not-to-exceed $207,311.36 which includes the base cost of $188,465.36 plus a 10% contingency of $18,846 contingency. This purchase is budgeted in the fiscal year (FY) 2025-2026 Public Works Fleet Fund (Fund 511). There is no impact on the General Fund.
