STAFF REPORT
City Council Consent Item
DATE: February 18, 2025
TO: Honorable Mayor and Council Members
FROM: Siana Emmons, Human Resources Director/City Clerk THROUGH: Amy Nilsen, City Manager
SUBJECT: Approve Supplemental Budget Request to Purchase Microsoft 365 Licenses for City Employees
STAFF RECOMMENDATION:

Approve a Supplemental Budget Request (SBR) for the Purchase of Microsoft 365 licenses for City Employees.

EXECUTIVE SUMMARY:

Microsoft officially announced they will end support for Microsoft Office 2016 and Office 2019 this year. All City employees currently operate on Office 2016. To seamlessly transition software and not lose Microsoft tech support, the City needs to work with Nylex over the next six months to transition all City employee work stations to the Microsoft 365 platform. The SBR is necessary to start the licensing purchase prior to July 1, 2025, which will mark the official end date of Microsoft support for Office 2016 and Office 2019.

FINANCIAL IMPACT:

Purchase of the licenses is $21,018.50 annually. Nylex labor and staff time, which will be billed monthly, will cost the City $10,000, for a total of $31,018.50. Of the total cost, $18,612 will need to come from General Fund reserves, $6,204 from the Water Fund, and $6,204 from the Wastewater Fund.

RECOMMENDED COUNCIL ACTION:

Approve a Supplemental Budget Request (SBR) in the amount of $31,020 for the Purchase of Microsoft 365 licenses for City Employees. Consent Agenda vote.
