SUBJECT: Authorize staff to negotiate Professional Services Contract with BBW & Associates for Professional Forestry Services.
STAFF RECOMMENDATION:
Authorize the Public Works Director to negotiate a contract for professional forestry services with BBW & Associates to provide various on-call forestry and arborist related consulting services for the City of Fortuna for a period of three years, with the extension possible for an additional three years.
EXECUTIVE SUMMARY:
Staff requested proposals for professional forestry services with the RFP closing on October 9th.
Staff received one proposal from BBW & Associates by the due date, at which time staff reviewed the proposal which included the following work tasks:
• Develop strategies for forest management of designated City-owned properties; • Participate in site tours of City-owned property that is designated at forests to be managed with authorizing agencies;
• Represent the City in negotiations with authorizing agencies to achieve acceptable forest management permits;
• Handle all other customary activities and services associated with forestry management;
• Identification and mitigation of potentially hazardous trees; • Presentations at public meetings may be required; and • Willingness to think “outside the box” and present innovative ideas for forestry management of specific City-owned properties.
FINANCIAL IMPACT:
The On-Call Consultants will be asked to provide scopes of services for individual assignments for a wide variety of projects with multiple funding sources and budgets. Each task order will take into account a not to exceed amount depending on the task. At no time will a task order be entered into with a consultant which is not budgeted by either the regular operations budget or a Capital Project budget.

RECOMMENDED COUNCIL ACTION:
Staff recommends authorizing the Public Works Director to execute a professional services contract with BBW & Associates to provide On-Call Consulting Services for a three-year period, with the potential of such services being extended for up to three additional years, at which time renegotiation of fees may occur. Consent Agenda vote.
