OBJECTIVE
To secure City Council authorization to purchase four (4) new Police Department Administrative utility vehicles from National Auto Fleet Group through the Sourcewell competitive bid program, Contract #091521-NAF.
BACKGROUND
The Public Works Department has four (4) Police Department Administrative utility vehicles that currently meet the City’s guidelines for replacement and were approved through the FY23/24 budget process. The vehicles being replaced are a 2007 Ford Crown Victoria with 90,500 miles, VIN# 2FAFP73W17X133155, a 2015 Ford Explorer with 104,000 miles, VIN# 1FM5K8AR4FGC67150, a 2017 Ford Explorer with 120,000 miles, VIN# 1FM5K8AR2HGB55059, and a 2018 Ford Explorer with 150,500 miles, VIN# 1FM5K8AR0JGA83994. Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase fleet vehicles and equipment.
DISCUSSION
Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #091521-NAF. The results deemed National Auto Fleet Group as the lowest responsive bid.

FINANCIAL IMPACT
Item 78/2024
Total cost to purchase the four Police Department Administrative utility vehicles is $215,746.19. The amount is budgeted and will be paid from the Fleet Management Fund.
The surplus equipment will be sold at public auction, and proceeds will be recorded in the Fleet Management Fund. There is no impact to the General Fund.
