Subject: Authorization of the issuance of a purchase order to Southland Technology, Inc. for the purchase of 65 new HP Elite Computers including 3-year warranty. (Cost: $60,984.21) (Action Item)
OBJECTIVE
To receive City Council authorization for the purchase of 65 new HP Elite Computers including 3-year warranty in the amount of $60,984.21 from Southland Technology, Inc., pursuant to IFB No. S-1336.
BACKGROUND
The proposed purchase replaces 65 of the City’s dated desktop computer inventory that are five to six years old. Benefits of the new computers include improved security and increased performance and productivity.
DISCUSSION
IFB No. S-1336 was issued on July 30, 2024 for HP Elite Computers with a specific part number. Eighteen proposals were received and opened on August 30, 2024. All proposals were reviewed and all proposals were found to be responsive. The lowest 3 bids are as follows:

The lowest responsive bid was from Southland Technology, Inc. Per the bid agreement, the City may, at its sole discretion, elect to exercise an option for additional HP Elite Computers Item 381/2024
up to one (1) year after delivery and acceptance of the original computers provided the contractor agrees to furnish the unit at the original bid price or lower.
FINANCIAL IMPACT
Total cost for the purchase of the 65 HP Elite Computers is $60,984.21. The amou nt is included in the FY 2024-25 Information Technology internal service fund operating budget.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $60,984.21, to Southland Technology, Inc., for the purchase of 65 new HP Elite Computers with 3- year warranty, and an option to purchase additional computers for up to 1 -year after delivery and acceptance of the original order, provided the contractor agrees to furnish the computers at the original bid price or lower.
