Subject: Authorization of the issuance of a purchase order to Olathe Ford Inc. for one (1) new SUV and one (1) new pickup truck. (Cost: $100,259.64)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase one (1) new pickup truck and one (1) new SUV from Olathe Ford Inc. through the Sourcewell competitive bid program, Contract #032824-OLA.
BACKGROUND
The Public Works Department has two (2) trucks that currently meet the City’s guidelines for replacement. Both vehicles were approved through the FY 2022-23 and FY 2023-24 budget process. The vehicles being replaced are a 2008 Chevy pickup truck with 60,000 miles, VIN# 1GCCS199788216391, and a 2013 Chevy truck with 78,500 miles, VIN# 1GB0CVCG8DF118883.
DISCUSSION
Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase fleet vehicles and equipment. Sourcewell nationally solicits, evaluates and a wards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #032824-OLA. The results deemed Olathe Ford Inc. as the lowest responsive bid.

FINANCIAL IMPACT
Total cost of procuring one (1) new pickup truck and one (1) new SUV from Olathe Ford Inc. is $100,259.64. The cost will be paid from the Fleet Management internal service fund. No additional appropriation is needed. The surplus equipment will be sold at public auction, and proceeds will be recorded in the Fleet Management fund.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $100,259.64 to Olathe Ford Inc. for the purchase of one (1) new pickup truck and one (1) new SUV.
