Subject: Authorization of a purchase order issuance to Atlas Toyota Material Handling LLC, for one (1) new forklift. (Cost: $32,701)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase one (1) new forklift from Toyota Material Handling LLC. through the Sourcewell competitive bid program, contract # 053024-ATY.
BACKGROUND
The Public Works Department has one (1) forklift that currently meets the City’s guidelines for replacement and was approved through the FY2024-25 budget process. The equipment is a 1990 Komatsu 20ST with 6747 hours, Serial # 300248A. Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase fleet vehicles and equipment.
DISCUSSION
Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #053024-ATY. The results deemed Toyota Material Handling LLC. as the lowest responsive bid.

FINANCIAL IMPACT
The total cost for the purchase of the new forklift is $32,701, and funding is budgeted in the Fleet Management internal service fund. The surplus equipment will be sold at public auction, and proceeds will be deposited in the Fleet Management internal service fund.

RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $32,701 to Toyota Material Handling LLC. for the purchase of one (1) new forklift.
