Subject: Authorization for the issuance of a purchase order to Olathe Ford for a new Police Department surveillance van. (Cost: $200,630.68)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase one (1) new Police Department surveillance van from Olathe Ford through the Sourcewell Competitive Purchasing bid program, contract #032824-OLA.
BACKGROUND
Public Works is responsible for providing safe and reliable vehicles for all City departments.
The Police Department currently has one (1) vehicle that meets the City’s guidelines for replacement and was approved through the F iscal Year 24/25 budget process. The vehicle being replaced is a 2004 Ford surveillance van with 6,847 miles, VIN#1FTSS34L23HB44194.
DISCUSSION
Sourcewell nationally solicits, evaluates and awards contracts thro ugh a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #032824 -OLA. The results deemed Olathe Ford as the lowest responsible bid.

FINANCIAL IMPACT
The cost for the purchase of the Police Department surveillance van is $200,630.68. As a scheduled replacement, funding will come from the Fleet Management internal service fund.

The vehicle being replaced will be sold at public auction, and proceeds will be returned to the Fleet Management fund.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $200,630.68 to Olathe Ford for the purchase of one (1) new Police Department surveillance van.
