Subject: Authorization for the issuance of a purchase order to Olathe Ford Inc. for one (1) new pickup truck and one (1) new SUV for the Public Works Department. (Cost: $92,332.85)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase one (1) new Public Works pickup and one (1) new SUV from Olathe Ford Inc., through the Sourcewell competitive Purchasing bid program, contract #032824-OLA.
BACKGROUND
Public Works is responsible for providing safe and reliable vehicles for all City departments.
The Public Works Department currently has two (2) vehicles that meet the City’s replacement guidelines and were approved through the Fiscal Year 2025-26 budget process. The vehicles being replaced are a 2008 Dodge Charger with 60,500 miles, VIN# 2B3KA43R08H229794, and a 2012 Ford F-250 with 66,800 miles, VIN# 1FTBF2A60CEA29737.
DISCUSSION
Sourcewell nationally solicits, evaluates and awards contracts through a c ompetitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, contract #032824 -OLA. The results deemed Olathe Ford Inc., as the lowest responsible bid.

FINANCIAL IMPACT
Total cost to purchase the two Public Works Department vehicles is $92,332.85. Funding is available in the Fleet Management internal service fund’s Fiscal Year 2025 -26 adopted budget. The surplus vehicles will be sold at public auction, and proceeds will be deposited in the Fleet Management fund.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $92,332.85 to Olathe Ford Inc. for the purchase of one (1) new pickup truck and one (1) new SUV for the Public Works Department.
