Subject: Authorization for the issuance of a purchase order to Olathe Ford Inc. for the purchase of five (5) police patrol vehicles, two (2) police administration vehicles, and one (1) gang unit vehicle. (Cost:$ 436,948.48)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase five (5) new police patrol vehicles, two (2) police administration vehicles, and one (1) Gang Unit vehicle from Olathe Ford Inc., through the Sourcewell competitive bid program, contract #032824-OLA.
BACKGROUND
The Police Department has several patrol vehicles , one gang unit vehicle, and two administrative vehicles that meet the City’s replacement guidelines and were approved through the Fiscal Year 2025-26 budget process. The five patrol vehicles will be held in reserve to replace patrol vehicles that reach the end of their useful life.
DISCUSSION
Efforts to obtain a quote from a local Ford dealer were unsuccessful, as there are no Ford dealers within city limits.
Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, contract# 032824-OLA. The results of this bid process deemed Olathe Ford Inc., as lowest responsive bid.

FINANCIAL IMPACT
Total cost to purchase the eight Police Department vehicles is $436,948.48 . Funding is available in t he Fleet Management internal service f und’s Fiscal Year 2025 -26 adopted budget. The surplus vehicles will be sold at public auction, and proceeds will be deposited in the Fleet Management fund.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $436,948.48 to Olathe Ford Inc. for the purchase of five (5) police patrol vehicles, two (2) police administration vehicles, and one (1) gang unit vehicle.
