INTER-DEPARTMENT MEMORANDUM

To:

Lisa L. Kim From: William E. Murray
Dept:

City Manager Dept: Public Works
Date: 9/9/2025

Subject: Authorization for the issuance of a purchase order to South Coast Bobcat for the purchase of twelve (12) new small trailers for the Public Works Department. (Cost: $217,208.56)(Action Item)

OBJECTIVE

To secure City Council authorization to purchase twelve (12) new small trailers for the Public Works Department through the Sourcewell competitive bid program, Contract #092922-FTS.

BACKGROUND

The Public Works Department has twelve (12) small trailers that currently meet the City’s guidelines for replacement and were approved through the Fiscal Year 2025-26 budget process. The equipment being replaced are a mixture of tilt, open, and dump trailers used by the Public Works Departments Streets Section, Parks Section, and Water Division. Experience has shown that the City’s buying power is enhanced through joining with other public agencies to purchase fleet vehicles and equipment.

DISCUSSION

Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases, per Muncipal Code 2.50.060 (E). Staff recommends piggybacking on the res ults of a recent Sourcewell competitive bid program, Contract #092922-FTS. The results deemed South Coast Bobcat as the lowest responsive bid.

South Coast Bobcat $217,208.56*

* This price includes all applicable tax and destination charges.

FINANCIAL IMPACT

There is no impact to the General Fund. The Fleet Management Fund will cover the cost of $217,208.56 for the replacement. The surplus equipment will be sold at public auction.
