Subject: Authorization for the issuance of a purchase order to Olathe Ford Inc., for nine Police Patrol Vehicles. (Cost: $513,976)(Action Item)
OBJECTIVE
To secure City Council authorization to purchase nine (9) new police patrol vehicles from Olathe Ford Inc., through the Sourcewell competitive bid program, Contract #032824-OLA.
BACKGROUND
The Police Department has several patrol vehicles that will meet the City’s guidelines for replacement and were approved through the Fiscal Year 2026-27 budget process. The nine (9) patrol vehicles will be held in reserve and will replace police patrol vehicles that have reached the end of their useful life.
DISCUSSION
Efforts to obtain a quote from a local dealership were unsuccessful, as there are no Ford dealers within the city limits. Sourcewell nationally solicits, evaluates and awards contracts through a competitive bid process. As a member of Sourcewell, the City is able to utilize bid awards for equipment purchases. Staff recommends piggybacking on the results of a recent Sourcewell competitive bid program, Contract #032824-OLA. The results of this bid process deemed Olathe Ford Inc. as lowest responsive bid.

FINANCIAL IMPACT
The total cost to purchase nine (9) new police patrol vehicles from Olathe Ford Inc. is $513,975.87. Funding will be from the Fleet Management Fund. The surplus vehicles will be sold at public auction, proceeds will be deposited in the Fleet Management Fund.
RECOMMENDATION
It is recommended that the City Council:
Authorize the Finance Director to issue a purchase order in the amount of $513,975.87 to Olathe Ford Inc. , for the purchase of nine (9) new police patrol vehicles through Sourcewell Contract #032824-OLA.
