ITEM NO. 6
COUNCIL AGENDA ITEM
AUGUST 1, 2023
PREPARED BY: Melanie Correa, Administrative Services Director
SUBJECT: City Lobby Closure December 27-29, 2023 and Cancellation of January 4, 2024 Regular Council Meeting
BACKGROUND/DISCUSSION
For the past number of years, the City Hall and Police Department lobbies have closed to the public for the week between Christmas and New Year. This practice started as a means to encourage staff at these locations to utilize their accrued leaves, accommodate vacation requests, and encourage work/life balance during a week in which customer traffic is traditionally very light, if any.
In 2023, the observance of Christmas Eve and Christmas, both City-paid holidays, fall on Monday December 25, and Tuesday, December 26. City staff is requesting Council’s approval to elongate the lobby closure of both City Hall and the Police Department for the remaining days of that week: December 27th through December 29th. The additional time off will not be compensated by the City, employees are encouraged to use accrued leave for this time off.
As a follow up, the first regular meeting scheduled in January 2024 falls on Tuesday, January 2, 2024. To distribute an agenda for January 2nd, staff would need to forgo time off during this week to coordinate, compile, and distribute the agenda in accordance with the agenda-distribution guidelines and requirements. As such, staff is requesting consensus from Council to cancel the regular meeting scheduled for January 2nd. If an emergency item arises requiring direction from City Council prior to their next regularly scheduled meeting, a special meeting could be arranged to accommodate the emergency.
As such, staff is also requesting consensus from the City Council to cancel the regularly scheduled meeting of January 2, 2024.
FISCAL IMPACT
None. Staff will prepare an item for City Council to consider directing staff to send out warrants in between the December 19th and January 16th regular meetings, which will be brought forth at a future meeting.
RECOMMENDATION
Provide Council consensus to close the City Hall and Police Department lobbies from December 27-29, 2023 and cancel the January 2, 2024 regular City Council meeting.
EXHIBIT(S)
