SUBJECT:

Contract Amendment with Tyler Technologies

RECOMMENDED ACTION
It is recommended that the City Council and Board of Directors of the Hesperia Water District authorize the City Manager to approve an amendment to the existing contract with Tyler Technologies, Inc., for an additional $143,946 for a revised not-to-exceed contract amount of $632,015, for the MyCivic Citizen Engagement subscription and licensing and maintenance of the New World enterprise resource management software.

BACKGROUND
In 2019, the City of Hesperia entered into an agreement with Tyler Technologies for the MyCivic App maintenance fees. The agreement is renewed annually and expired on September 30, 2022. Also in 2022 an agreement was approved for Tyler Technologies to provide licensing and maintenance services for the New World Systems enterprise resource management software.

ISSUES/ANALYSIS
For consolidation purposes, it is being requested that the fees for the MyCivic subscription and New World license and maintenance be incorporated into the same agreement. An amendment will allow Tyler Technologies to prorate services from October 1, 2022 through June 30, 2023 in the amount of $3,473 and to subsequently bill in advance for the period of July 1, 2023 through June 30, 2024 for $4,863, for the MyCivic App subscription.

In addition, it is being requested that the same agreement be renewed for the licensing and maintenance of the New World enterprise resource management software for FY 2023-24, totaling $135,610.

FISCAL IMPACT
Funding is included in the Adopted FY 2022-23 Budget and will be included in the FY 2023-24 Budget.
