SUBJECT:

G & M Automotive Center, Inc. Contract Amendment

RECOMMENDED ACTION
It is recommended that the City Council and Board of Directors of the Hesperia Water District (District) authorize the City Manager to approve an amendment of $250,000 to the existing contract with G & M Automotive Center, Inc. for a total revised not-to-exceed amount of $500,000 and approve a one-year contract extension for vehicle maintenance and repairs.

BACKGROUND
Preventative and corrective maintenance is required for the City of Hesperia’s and Hesperia Water Districts’ seventy-five (75) light-duty vehicles, and thirty-four (34) super-duty and heavier on-road vehicles and equipment. The current contract with G & M Automotive Center, Inc. (G & M) expires on June 30, 2023, and a contract extension is needed to continue to provide vehicle maintenance and repairs.

ISSUES/ANALYSIS
Public Works requested bids for Fiscal Year (FY) 2022-23 from local vendors located in the High Desert that could provide maintenance services. To include as many potential bidders as possible, the vehicle fleet’s three categories were solicited on three separate requests for bids (RFB’s). G & M Automotive Center, Inc., located in Hesperia, was deemed the lowest responsible/responsive bidder in each category. City staff recommends extending the contract for an additional year and G & M has agreed to hold the current contract pricing for one more year through June 30, 2024.

FISCAL IMPACT
Sufficient funding will be included in the FY 2023-24 Proposed Operating Budget.
