SUBJECT:
GP Electric Motor Contract Amendment
RECOMMENDED ACTION
It is recommended that the City Council and Board of Directors of the Hesperia Water District (District) authorize the City Manager to approve an amendment of $30,000 to the existing contract with GP Electric Motor for a total revised not-to-exceed amount of $160,000, and approve a one-year contract extension for well motor maintenance.
BACKGROUND
Electric motors that operate the water pumps require proactive or reactive (emergency) repairs throughout the year to continue to have water pumped at the well sites and maintain positive water pressure in the distribution system to serve homes and businesses. The proactive and reactive repairs will also greatly reduce the possibility of a water service outage through the City. In April 2019, the District conducted a request for bid for well motor maintenance and GP Electric Motor was deemed the lowest responsible/responsive bidder.
ISSUES/ANALYSIS
The current contract with GP Electric Motor expires on June 30, 2023, and a contract extension is needed to continue to provide well motor maintenance. City staff recommends extending the contract for an additional year. Additionally, the vendor has agreed to hold the current contract pricing for one more year through June 30, 2024.
FISCAL IMPACT
Sufficient funding will be included in the Fiscal Year 2023-24 Proposed Operating Budget.
