New Agreement with LANAIR for Nutanix Licensing

RECOMMENDED ACTION
It is recommended that the City Council authorize the City Manager to enter into a three-year agreement with LANAIR Technology Group Inc. for a not-to-exceed contract amount of $109,421 for cyber and system security and data protection software licensing and support.

BACKGROUND
As of 2020, the City’s Information Technology Division has converted all physical application host servers to virtual machines, a move which has significantly reduced the inherent hardware and upkeep costs incurred by operating an on-premise server farm. Ultimately, this strategy has allowed the consolidation of many separate servers onto a single Nutanix virtualization platform. At the same time that the City purchased this single piece of hardware, the City also entered into an agreement with LAINAIR Technology Group for Nutanix’ Acropolis software, which facilitates server virtualization, and the orchestration of hosted virtual machines. The agreement with LANAIR for this software covered a three-year term, which expired at the end of the 2023 calendar year. As such, a new agreement for Nutanix Acropolis software and support is necessary.

ISSUES/ANALYSIS
A new agreement with LANAIR for Nutanix Acropolis would include requisite licensing for the use of the software, as well as support from Nutanix in the event of any technical issues, plus access to feature and security updates necessary for the uninterrupted operation of the City’s critical business information systems. As LANAIR Group is the incumbent holder of our agreement for the Acropolis software, Nutanix offers them the lowest available pricing for these services, which is in turn passed on to the City. Without a renewal of this agreement, the City’s data and line-of-business applications would be more vulnerable to interruption by way of technical error or cyber attack. As such, securing a new three-year agreement for these services is highly recommended.

FISCAL IMPACT
Funding for this agreement was approved during the Fiscal Year 2023-24 First Quarter Budget Review.
