Contract Amendment for Apple Valley Communications after hours phone service
RECOMMENDED ACTION
It is recommended that the City Council authorize the City Manager to approve an amendment to the existing contract with Apple Valley Communications for an additional $50,000 for a revised not-to-exceed contract amount of $100,000 and approve a one-year contract extension for after hour telephone answering services.
BACKGROUND
The City has continued to utilize after hour telephone answering services after business hours and weekends at the Civic Center and Public Works Corporate Yard to collect citizens phone calls after normal business hours, which has been proven to be beneficial and allows staff to respond quickly during business hours. The current vendor Apple Valley Communications began services in July 2020, and has provided excellent service.
ISSUES/ANALYSIS
The contract with Apple Valley Communications is set to expire on June 30, 2024. Apple Valley Communications has agreed to not increase the original contract to continue to provide after-hours telephone answering service and hold the original pricing. The City has been happy with the service being provided and staff continues to utilize the after-hours telephone service to service the community.

Public Safety: ensure public safety resources adequately protect our community; and Financial Health: maintain a balanced budget and adequate reserves.
FISCAL IMPACT
Sufficient funding will be included in the FY 2024-25 Proposed Operating Budget.
