SUBJECT:
Vehicle Procurement – One Heavy-Duty Truck
RECOMMENDED ACTION
It is recommended that the City Council authorize the City Manager to approve the procurement of one (1) 2024 Chevy Silverado 2500HD 4 X 4 utility truck for the Streets Maintenance Program and enter into an agreement with Victorville Chevrolet for the not-to-exceed amount of $73,000.
BACKGROUND
To maintain an optimal operating fleet, vehicles are reviewed periodically as part of fleet management. Those that require higher than expected lifetime maintenance costs to remain operational are recommended for replacement.
This vehicle is needed to replace an existing unit (vehicle # 1472) that has reached the end of its useful life and the annual costs attributed to maintaining the existing unit exceed salvage value. Additional benefits include improved occupant safety and lower fuel expenditures. Currently, it is difficult to attain vehicles with the time between ordering and delivery often taking six to twelve months. This replacement truck is available for purchase now with no needed lead time.
ISSUES/ANALYSIS
The Public Works Division requested a quote for one (1) four-wheel drive utility truck on April 5, 2024, soliciting bids from six dealerships both locally and out of the area to maximize the bid response. A requirement was included that the vehicle be in stock and available for delivery. The bid closed on April 10, 2024, with Victorville Chevrolet being the only respondent with a total bid of $72,893.39. Staff recommends awarding the bid to Victorville Chevrolet who has been deemed the lowest responsive/responsible vendor and have the vehicle currently at their dealership.
