SUBJECT:
Vehicle Procurement – Two Mid-Size Trucks and One Service Crane Truck
RECOMMENDED ACTION
It is recommended that the Board of Directors of the Hesperia Water District authorize the City Manager to enter into an agreement with Ken Grady Ford in a not to exceed amount of $215,811 for the purchase of two (2) 2024 Ford Ranger SuperCrew 4 X 4 trucks and one (1) 2024 F-550 service truck with an 11-foot crane.
BACKGROUND
To maintain an optimal operating fleet, vehicles are periodically reviewed as part of the fleet management. Those that require higher-than-expected lifetime maintenance costs to remain operational are recommended for replacement.
One Ford Ranger is needed to replace an existing 22-year-old unit (vehicle 1314) while the crane service truck will take the place of the current 18-year-old vehicle (unit 1193). Both assets have reached the end of their useful lives and the annual costs attributed to maintaining them exceed salvage value. The second Ford Ranger is needed for Water Operations.
ISSUES/ANALYSIS
The Public Works Division requested two separate quotes for two new mid-size trucks and one new crane truck on May 8, 2024, soliciting bids from nine dealerships both locally and out of the area to maximize bid response. A requirement was included that the vehicles must be delivered during Fiscal Year (FY) 2023-24. The bids closed on May 13, 2024, with Ken Grody Ford being the only respondent for both. Staff recommends awarding the bids to Ken Grody Ford who they have deemed the lowest responsive/responsible vendor with a total bid amount of $131,588.19 for the crane truck and $84,222.49 for the two Ford Rangers. All three of these trucks will be available for delivery before June 30, 2024.
