One-Year Maintenance and Licensing Agreement with Xentegra

RECOMMENDED ACTION
It is recommended that the City Council authorize the City Manager to enter into a one-year agreement with Xentegra in an amount not to exceed $70,041 to provide licensing, maintenance, and support for the City’s backup Infrastructure.

BACKGROUND
The City utilizes Xentegra for a variety of services. These services include the maintenance and licensing for HYCU and the City’s Nutanix MINE cluster. HYCU and Nutanix MINE cluster are responsible for the City’s backup infrastructure, which involves creating copies of the City’s data and servers to create a safety net in case of hardware failure, data loss, or data theft. This copied data is stored in a separate location from normal City data to ensure its integrity and prevent tampering, allowing City staff to restore copied data efficiently with minimal downtime of City services. These steps help keep the City at industry standards and resilient against cybersecurity threats.

The City has utilized HYCU and the Nutanix MINE cluster since 2020. Licensing and maintenance for both HYCU and Nutanix MINE were previously under a three-year contract with Xentegra. City Staff is looking to extend the contract for an additional year to allow for further research to ensure both products are the best fit to meet City needs, without losing hosted historical data and copies of City data and servers.

ISSUES/ANALYSIS
Establishing a new maintenance and licensing agreement with Xentegra will ensure product stability and support for the following year without impacting the City’s back-up infrastructure. Without this licensing and maintenance, the City runs the risk of exposing itself to data loss and extended periods of unavailability for City services, with no readily available copy of City data.
