5. STAFF REPORTS
A. Tracy Robinson, Administrative Services Director; Niroop Srivatsa, City Manager Lease of City Offices – Desco Plaza
Recommendation: Direct staff to execute the 9th Amendment to the lease at Desco Plaza.
Ms. Robinson stated the information is in the staff report, however, there is one amendment: the difference in rent for the new suite is about $137,000 in the first year. This was expected and is currently accounted for in the 2022-23 FY budget. In fact, it will slightly less this fiscal year because the City is in a holding period due to the tenant improvements both on the new suite with the additional square footage and our current suite.
The City will not be charged for any of the additional space until we actually move in. Therefore, there will be a bit of a budget savings this year.
Vice Mayor Anduri, confirmed with Ms. Robinson that the City is currently paying $237,000per year.
Vice Mayor Anduri, asked if there was any more to this report and Ms. Robinson stated that she is prepared for questions from Council.
Councilmember Candell inquired if the Staff was moving out of the current suite while the tenant improvements were happening.
Ms. Robinson stated the suite next door is currently vacant, and this will be the additional square footage which is currently being improved. Once this is completed, some of the staff will move to the new space. This is being done in stages; therefore, staff is not moving out. There will be four phases of the upgrade. There will be times where some staff will be working in a bit of a construction zone.
Councilmember Candell stated that she hopes everything goes smoothly.

Ms. Robinson stated that Staff is excited about this upgrade since we haven’t had any significant tenant improvement since we moved to this office.
Councilmember Dawson mentioned that it was pointed out that there was no other logical office space to move to and asked if this additional space could accommodate City Staff when we are fully staffed and when we get to the point of possible expansion of staff.
Ms. Robinson responded that when we are fully staffed there is enough space to accommodate everyone, as well as, enough space for interns and/or additional staff.
Councilmember Dawson inquired if City Offices occupies the entire wing of this section. Ms. Robinson replied that the School Bus Program occupies Suite #255, we have a City Conference room in Suite #265, and there is a shared Conference Room which is Suite #240. The Alzheimer’s Association is also a tenant on this side of the suite, as well as a few other smaller tenants. She mentioned that City Offices occupies a bit less than 50% of the second floor. Ms. Robinson continued that there is an accounting firm across from our suite and does not believe there is any more vacant space on the current floor.
Vice Mayor Anduri asked Councilmember Kwok had any questions. Councilmember Kwok stated that he did not have any questions.
Vice Mayor asked a question regarding the MOU item #11 where it mentions tenant improvements and the last sentence states about the items that will be tenant’s responsibility and inquired about how much money has been set aside for these responsibilities?
Ms. Robinson replied that there is about $50,000 set aside.
Vice Mayor Anduri inquired that this is already included in the budget. Ms. Robinson confirmed this.
Vice Mayor Anduri asked if there were any further questions from Council. He confirmed there were no questions.
Vice Mayor Anduri opened to Public Comments. Ms. Robinson stated there were no members of the public in attendance.
