Subject:Contractor Services Agreement for San Diego Ice Company Recommendation
Approve and authorize the City Manager to execute the Agreement for Contractor Services with San Diego Ice Company in an amount not to exceed $90,000 for bagged ice and crushed ice for Winterfest sledding hill in such final form as approved by the City Attorney and authorize the City Manager to execute change orders not exceeding a 10% contingency of $9,000 for uncertainties and adjustments.
Background
The City of Lake Elsinore utilizes San Diego Ice Company for supplying of bagged ice for retail sale at Launch Pointe as well as for the creation of the sledding hill at the annual Winterfest event.
An Agreement has not been necessary in the past due to the total cost of invoices remaining under the threshold of $30,000. That total has now been exceeded so an agreement is necessary.
Discussion
San Diego Ice Company provides bagged ice for resale at Launch Pointe, at an annual cost of $4,000-$5,000. It is anticipated that ice sales will maintain or increase over the duration of the proposed agreement.
The sledding hill at the annual Winterfest event is always a highlight of the event and is enjoyed by hundreds of attendees every year. Due to the growing popularity and attendance at the Winterfest event, and at the sledding hill in particular, staff is planning to increase the amount of ice for the sledding hill from 40 tons to 60 tons. The cost in 2024 is expected to be $13,500.

The funding for ice expenses is available in the approved Community Services events budget and Launch Pointe budget.
