Recommendation:
Approve the purchase of one (1) new Caterpillar Inc. Model: 930 Wheel Loader, utilizing the Sourcewell Cooperative Purchasing Contract awarded to Quinn Cat.
Fiscal Impact:
Funds are available in the fiscal year 2023-2024 in expenditure account 101-44000-6201.
Accordingly, approve a purchase amount of $313,262.95, with a contingency of $31,326.30 for a total not to exceed the amount of $344,589.25.
Background:
Quinn Cat was awarded contract number 020223-Cat by Sourcewell Cooperative. Purchasing Bid documents meet all State and City requirements for competitive procurement. Via the cooperative, the City is making this purchase through the local Lancaster Quinn Cat dealer.
The shortage of microchips and the constantly changing price of materials means the final sales price of a vehicle could adjust daily. Therefore, we respectfully request a 10% contingency authority to allow flexibility when processing the final order.
This purchase will replace an existing 2001 John Deer 444H Loader (EQ 3355) used for drainage maintenance, storm drain, illegal dumping, and debris in roadways. The existing vehicle has reached the end of its useful operating life and will be auctioned via an approved City program.
The revenues from this auction will fund future fleet replacements.
