HONORABLE MAYOR AND CITY COUNCIL

California
RECOMMENDATION:

Authorize the City Manager, or designee, to execute all documents necessary to amend Contract No. 35545 with Great Scott Tree Service, Inc., of Stanton, CA, for as-needed tree trimming and removal services , to increase the annual contract amount by $1,949,030 with a 15 percent contingency in the amount of $ 292,355, for a revised total annual contract amount not to exceed $3,211,410. (Citywide)

DISCUSSION
City Council approval is requested to amend Contract No. 35545 with Great Scott Tree Service, Inc. (Great Scott), to increase the annual contract amount by $1,949,030 with a 15 percent contingency in the amount of $292,355, to provide tree trimming , removal, planting, inventory, and stump grinding services for the Parks, Recreation and Marine Department for a revised total annual contract amount not to exceed $3,211,410.

On April 21, 2020, the City Council awarded a contract to Great Scott as part of its adoption of RFP PR19-126 for tree trimming and removal services for a period of two years, with the option to renew for three additional one-year periods, in an annual amount not to exceed $970,025, inclusive of a 15 percent contingency.

In Fiscal Year 2023 (FY 23), the Adopted Budget included a structural enhancement of $200,000 and a one-time resource of $ 2,000,000 to the Parks, Recreation and Marine Department to provide grid tree trimming services and remove structural defective trees in the parks. To complete the project in FY 23, additional contractual authority is needed.

The removal of structurally defective trees will enhance safety of park patrons.

The current annual contract amount is $970,025. The Parks, Recreation and Marine Department is requesting to increase the annual contract amount by $1,949,030 with a 15 percent contingency in the amount of $292,355, for a total increase of $2,241,385. The revised total annual contract amount will not exceed $3,211,410.

This matter was reviewed by De puty City Attorney Anita Lakhani on April 26, 20 23, Purchasing Agent Michelle Wilson on May 4, 2023, and by Budget Analysis Officer Greg Sorensen on May 10, 2023.

TIMING CONSIDERATIONS
City Council action to amend Contract No. 35545 is requested on June 6, 2023, to ensure there is no interruption to services.
